Club Travel Guidelines (Domestic)
- All requests for trips must demonstrate specific value to the program’s objectives of the particular department or club, and benefit to the student body.
Conference attendance should be limited to three business days, exclusive of travel time, unless otherwise substantiated as being essential and in the best interest of the student body.
- All required travel authorization forms must be approved at least one (1) week before departure.
- All incidents must be reported as soon as possible to the Office of Student Affairs.
- All overnight and one day trips must be accompanied by advisors who must be present at all times. Exceptions must be approved on a case-by-case basis by the Office of Student Affairs.
- For overnight travel, at hotel check-in, the advisor will assign rooms. No males and females will be assigned to the same room except if married to each other. The advisor shall maintain a master list of room assignments.
- Person(s) occupying rooms are responsible for any unauthorized additional room charges. Any damages to the room or hotel property are also the responsibility of the occupants. If checking out later than the regular checkout time, occupants must inform the hotel front desk in order to avoid additional charges.
- FSA vehicles will not be available during winter or the summer intercessions, unless arrangements are made at least two (2) weeks prior to the end of semester.
- FSA vehicles are available for use to each club and sports team. Any problems or damage that occurred while using the vehicles must be reported immediately following any incident.
- Only Westchester Community College personnel, students and guests who have properly completed the Liability Release Agreement are allowed to travel on FSA vehicles.
- Any person driving an FSA vehicle must have his driving credentials registered with the FSA office.
- Vehicles must be cleaned after each use or privileges may be revoked.
If a student cannot travel with the group, s/he must get permission from the Office of Student Affairs to drive a personal vehicle.
- Rental cars generally are not to be used for transportation unless no other means of transportation is available. Approval must be obtained from the FSA office. If a rental car is authorized, the traveler must purchase rental collision insurance or assume the financial responsibility for collision damage.
