TITLE OF POSITION/RANK: Program Administrator/Welcome Center Director

DEPARTMENT/DIVISION: Division of Continuing Education

The Gateway Center is at the heart of Westchester Community College’s commitment to addressing the educational needs of the County’s increasingly diverse population. With one in four Westchester residents born outside the United States, the Gateway Center will provide targeted programs for motivated new American and international students. They will have the opportunity to study side by side with traditional students, gaining the education they need for meaningful careers while building intercultural understanding. The Gateway Center will bring together programs and resources to create a magnet for education, collaboration and exchange.

RESPONSIBILITIES

Under the direction of the Associate Dean of the Gateway Center, an incumbent of this position is responsible for managing the Welcome Center and its programs within Gateway. The Welcome Center within Gateway will provide a dynamic first point of entry to the campus, where prospective students, visitors and community members can learn how to access college facilities and programs. Through its programs and specific initiatives, the Welcome Center will actively reach out to the community to make them aware of Gateway Center offerings. In addition, the Call Center, housed in the Welcome Center, will serve to support retention efforts within the college. The Program Administrator will oversee both the planning and administration of the Welcome Center. Responsibilities will include, but are not limited to:

Planning and Administration

  • Plan, implement and evaluate programs within the Welcome Center that foster outreach to the community and effective service to students and visitors of the college;
  • Participate in community meetings as appropriate to the mission and goals of the Welcome Center and Gateway Center;
  • Coordinate information resource sharing with community-based organizations;
  • Coordinate with campus representatives to review existing processes and programs and to develop new ones to make the best use of the Welcome Center (examples: Visitor Parking Policy, Event Coordination);
  • Interact with student service and academic personnel to plan and implement initiatives to support student retention efforts through the Call Center;
  • Prepare, review, analyze and share with college personnel reports and results of Call Center initiatives toward supporting student retention efforts;
  • Work closely with other Gateway Center offices and departments to ensure coherent student centered processes;
  • Develop, coordinate, and supervise a training program, including training staff/volunteers three times per year; conduct ongoing professional development/training throughout the year;
  • Ensure smooth ongoing operations of the Welcome Center and all of its functions through coordination of volunteers, work study students, college personnel, etc.;
  • Manage Welcome Center space utilization, including space requests for conferences, seminars, events, etc.;
  • Determine staffing needs in collaboration with Gateway Center director, and monitor staff performance (quality control);
  • Ensure Welcome Center is staffed during all open hours, including special events (Commencement, reunion weekends.);
  • Identify and gather appropriate information for various media distribution in the Welcome Center;
  • Oversee and update print and electronic information about the Welcome Center;
  • Coordinate Telecommunications needs in Welcome Center;
  • Coordinator Computer Services needs in Welcome Center;
  • Order and maintain equipment, including information kiosks and electronic signage;
  • Prepare and manage annual budget for the Welcome Center;
  • Communicate Welcome Center functions and uses to campus community;
  • Research best practices at other campus welcome centers.

QUALIFICATIONS:

Requires a minimum of a Bachelor’s degree and 3 years experience in continuing education/student services/higher education administration. A Master’s degree in education, counseling, or related field that focuses on information acquisition and dissemination is strongly preferred. Experience with Microsoft Office applications required. The successful candidate must possess the ability to supervise others and foster internal and external partnerships and information exchange; ability to coordinate internal and external resources, both human and informational; knowledge of program development; ability to establish and maintain professional relationships; sound professional judgment, integrity, resourcefulness, physical condition commensurate with the demands of the position. Knowledge of the community college environment and needs of community college students, including immigrant populations preferred. S/he must possess the ability to work flexible hours. Bi-lingual is a plus.

POSITION EFFECTIVE: Position open until filled.

SALARY AND BENEFITS: The minimum salary start is $64,685 plus excellent benefits.
